WhatsApp CRM
A WhatsApp CRM where every chat lives on the lead
For sales teams whose customers reply on WhatsApp, not email. DueDoor puts the team inbox, templates, automations and an AI first reply inside the same pipeline, so nothing is copied between two tools.

What a WhatsApp CRM should actually do
In many Indian businesses the real CRM is a set of phones. Leads come in from Meta ads, a portal or the website, someone messages them from a personal number, and the history of that deal lives in one person’s chat list. When that person is on leave, or leaves, the pipeline goes with them.
A WhatsApp CRM fixes that by making the conversation part of the customer record. Every message, template, brochure, call note and stage change sits on one lead, owned by the business, visible to whoever needs it. The test is simple: can a manager open any lead and understand in thirty seconds what was said, what was promised, and what happens next?
DueDoor is built on that test. It connects your number to the official WhatsApp Business Platform (Cloud API) as an approved Meta Tech Provider, and the same workspace holds the pipeline, the shared inbox, the WhatsApp AI chatbot, email, AI calling, meetings and reports.
Native WhatsApp vs a WhatsApp plug-in on an email-era CRM
Most well-known CRMs were designed around email and phone logs. You can add a CRM with WhatsApp integration through a connector, and for some teams that is the right call. The difference shows up in daily work.
| Daily task | Plug-in on an email-first CRM | WhatsApp-native CRM (DueDoor) |
|---|---|---|
| Replying to a lead | Often in a side panel or a separate inbox app | Shared team inbox, and the chat is already on the lead |
| First reply at night | Usually a fixed auto-reply | AI first reply from your own content, with handover to a person |
| Templates | Created elsewhere, then synced | Written with an AI template writer and submitted for Meta approval from the same place |
| Automations | Built around email steps, WhatsApp added as an action | Flows mix WhatsApp templates, email, AI calls, tasks and waits in one builder |
| Two tools to pay for and connect | Yes, CRM plus WhatsApp provider | One workspace; Meta’s WhatsApp charges billed on top per Meta’s rate card |
Key point: if your team already lives in a large CRM that other departments depend on, a plug-in can be the lighter path. If WhatsApp is where most of your deals are actually won, the CRM should be built around it.
A buyer’s checklist for choosing a WhatsApp CRM
Searching for the best WhatsApp CRM usually returns lists that rank on features. Rank on these eight questions instead, and ask every vendor to show them live on a demo rather than on a slide.
1. Official API
Is the number on the official WhatsApp Business Platform, connected through Meta’s own signup? Anything else relies on workarounds Meta does not support.
2. Shared inbox
Can several people work the same number, see who is replying, and add notes without messaging the customer?
3. Assignment
Do new leads get an owner automatically, and does a returning customer land on the same lead instead of a duplicate?
4. Templates
Can you write, submit and track template approval without leaving the tool? Meta’s platform documentation is clear that template messages are the only type a business can send outside an open customer service window.
5. Automation
Can one flow send a WhatsApp template, wait, check for a reply, then create a task or start a call?
6. Lead sources
Do Meta lead forms, Google Ads lead forms, website forms and imports arrive in the same pipeline without a spreadsheet in between?
7. Reporting
Can you see leads by source, stage and owner, and which campaigns produced qualified leads rather than form fills?
8. Data ownership
Do chats stay with the business when a rep leaves? Are there roles, access control and an audit log?
Pricing is the ninth question. Separate the software fee from Meta’s own message charges; our guide to WhatsApp Business API pricing in India explains how Meta charges. For DueDoor’s plans, see pricing.
How a lead moves through DueDoor
Here is a typical path for a lead from a Facebook lead form. The same pattern applies to Google Ads forms, website forms and inbound WhatsApp chats.
- Capture. The Meta lead form submission lands in the pipeline automatically, matched by phone number so a repeat enquiry does not create a duplicate.
- First touch. An automation sends an approved WhatsApp template within moments, with the brochure attached. When the lead replies, the AI agent answers questions and asks your qualifying questions.
- Assign. The lead gets an owner by your rules, with the AI’s answers and a lead score on the record.
- Work the deal. The owner picks up in the shared inbox, pausing the AI on that chat if needed. Notes, tasks and deal value live on the lead.
- Meet. A booking link schedules the visit or call, with WhatsApp confirmation and reminders before it.
- Close the loop. Stage changes drive the next automation. For leads that came from Google Ads, the qualified signal can be sent back to Google Ads so bidding learns from real leads, not form fills.

Who it fits, and who it may not
DueDoor fits businesses where a lead turns into a conversation, then a meeting, then a sale: property, healthcare, education, professional services, finance and insurance. Industry pages show the setup for each:
- WhatsApp CRM for real estate: portal and ad leads, site visits, broker follow-up.
- WhatsApp CRM for clinics: enquiries, consultations, reminders.
- CRM for education admissions: parent and student enquiries through to counselling and enrolment.
It may be more than you need if you only want to send broadcasts to an existing customer list, with no pipeline or sales team. A lighter WhatsApp API tool can suit that job. And if your company has a large CRM that finance and support also run on, weigh the cost of moving before replacing it.
Frequently asked questions
What is a WhatsApp CRM?
A CRM where WhatsApp conversations are saved on the customer record alongside stages, owners, notes, tasks and deal value. The team works chats from a shared inbox on the official WhatsApp Business Platform instead of personal phones, so the business keeps the history.
Can my whole team use one WhatsApp number?
Yes. The number is connected to the WhatsApp Business Platform and the team works it through a shared inbox, with leads assigned to owners. Roles and access control decide who sees what.
Will my existing contacts and leads come across?
You can import contacts and leads into the pipeline, and phone matching keeps repeat enquiries on the same lead. Bring a sample export to the demo and we will walk through the mapping with you.
Do I pay Meta separately for WhatsApp messages?
Yes. Meta’s WhatsApp charges are billed per Meta’s rate card on top of the DueDoor plan, through a prepaid wallet. The DueDoor plan price is quoted in writing after the demo, based on your channels and lead volume.
Is there a refund if it does not work for us?
DueDoor gives a full refund if requested within 15 days of payment. The details are on the refund policy page.
